Privacy statement

Zonnelach dental practice (Gein 8, 3068 GJ Rotterdam) takes your privacy seriously. In this statement we explain openly which data we collect, why, how long we keep it and how we protect it. We comply with the General Data Protection Regulation (GDPR) and the Dutch Medical Treatment Agreement Act (WGBO).

Our principles

  • Transparent: we clearly explain why we ask for each piece of data.
  • Minimal: we only collect what is necessary for your care and the running of the practice.
  • No commercial trade: your data is never sold or shared with third parties for marketing.
  • Well protected: technical and organisational measures prevent unauthorised access.
  • You are in control: you can access, correct or (within legal limits) have your record deleted.

Which data we process

  • Name, address, date of birth and gender
  • Contact details such as phone number and email
  • Dutch citizen service number (BSN) and insurance details (legally required in healthcare)
  • Medical and dental data in your patient record
  • X-rays, scans, photos and treatment notes
  • Names of other care providers and referrers
  • Appointment data and communication with the practice
  • Payment and invoice details

What we use it for

  • Registering you as a patient and managing your record
  • Scheduling, confirming and reminding you of appointments
  • Providing dental care and treatments
  • Submitting claims to your health insurer or billing via Infomedics
  • Improving our services and internal quality control
  • Meeting legal obligations (WGBO, Wkkgz, tax law)

Sharing with third parties

We only share your data with parties necessary for your care or where a legal obligation exists, such as your health insurer, referrers (oral surgeon, orthodontist, endodontist), the dental laboratory, our billing partner and IT suppliers. We conclude a processor agreement with each of them.

Retention period

Medical records are kept for at least 20 years after the last treatment, as prescribed by the WGBO. Financial data is retained for 7 years for the tax authority. Other data is not kept longer than necessary.

Security

We take appropriate technical and organisational measures to protect your data. Access is limited to staff involved in your care. Our systems are regularly checked and updated.

Your rights

You have the right to access, correct or (within legal limits) delete your data. You can also object to processing or request data portability. Send a request to info@zonnelach.nl. If we cannot resolve it together, you may file a complaint with the Dutch Data Protection Authority.

Changes

We may update this statement, for example when laws change. Please check this page regularly.
